The opportunity

Internal tools are where organizations do their most important work. The redesign established a clearer system of navigation, information, and interface patterns that made daily tasks easier to complete.

The challenge

IEHP - Inland Empire Health Plan

  • over 1.5 million members

  • over 8,000 providers

  • the largest not-for-profit Medicare-Medicaid public health plan in the country

  • Intranet serves

    • 4,000 employees

    • 9 departments

    • many microsites

    • 365 sites total

  • IEHP is using JIVE to run its intranet

    • license is expiring

    • run on local server

  • UI feels quite dated–needs an update

  • Not much consistency across pages

  • Outdated content

  • 365 content owners with competing interests

  • 1 year timeline

  • Small but nimble team of 6

    • 1 UXD

    • 3 Devs

    • 1 QA

    • 1 PM

Sample Jive page feels dated

Research

To understand requirements and pain points

  • Stakeholder interviews

  • Ethnographic interviews

  • 1:1 with every content owner or their delegate

    • 365 sites total!

    • including c-suite and directors

  • Content inventory and audit

  • Looked at data analytics to understand how Jive was used, ie: Quick Links clicks

  • Created personas

  • Needs to be scalable, responsive, easy to update, consistent format, modern imagery

  • Content owners want to easily update their site themselves (or a delegate)

Unforeseen Challenges

  • Project director was changed mid project

    • New director had different management style and somewhat different priorities

  • Departments’ hierarchies changed mid project

    • units moved across departments (and back again!)

  • BA was hired to help me meet all 365 content owners

    • BA was fired for incompetence

    • PM trusted me to get the job done and gave me the BA’s responsibilities

    • I was given a raise mid project

    • I personally scheduled

      • 1:1s with every content owner

      • Department wide meetings

  • Also helped in building pages, adding content, meta data

  • Also did training (live and recorded)

  • Also did documentation (manuals, tutorials, FAQs)

Feedback on my work

From a content owner to the project director:

From: Frannie Ngo

To: Satish Mandavgade

Subject: Feedback for Peter Maziak

Greetings Satish Mandavgade,

During the Jive2SP migration, I had the wonderful opportunity of working with Peter Maziak.  Regardless of the time of day, Peter Maziak made sure to be available for questions, training, etc.

Peter Maziak often listened patiently and responded very empathetically to my concerns.  If there were areas he could assist on, he would. If he needed to seek more guidance, he would let me know and come back in a prompt manner.  And if he had to be firm with a decision, relayed maintained the firm stance but kept his tone gentle.

I appreciated all the time I had with Peter Maziak, his demeanor, and overall approach to the migration project. While he is no longer on the project, I hope that he is off to bigger and brighter things 😊

From the Project Manager:

“There is no way I could get such a massive project done without Pete. My most heartfelt thanks go out to him!”
